Communication from Devon 567 / Devon FA

All correspondence to teams must be sent via SSF email account. This will ensure all staff members can see issues incoming to the inbox & provides one point of contact for League Staff & teams.

 

  1. League Venues - Overview

Newton Abbot (The County Ground) – Wednesdays 24 Teams FULL

  • Coordinator - Jake Ramday/ Matt Bennett
  • Match fee = £30 per team
  • 4 small sided pitches available
  • Wednesday nights (no breaks in the year apart from Christmas)
  • Premiership, Championship & Conference
  • 8 teams in each division (capacity)
  • 1 Team Promoted & 1 Relegated
  • Play each team once in a season (8 weeks)
  • 7pm, 7.45pm & 8:30pm Kick off times
  • 4x fixtures at each kick off time (2x Premiership & 2x Championship)
  • Some teams have requests for early/late KO’s
  • 4x Referees required each week – Jake/Matt to appoint
  • Invoiced for pitch hire (note dates event hasn’t ran/cancelled)

 

 

 

Newton Abbot (The County Ground) – Sundays 6 teams – (12 teams capacity) 

  • Coordinator – Jessica Mitchell/ Jake Ramday/ Ben Clark
  • Sunday nights (no breaks in the year apart from Christmas)
  • Match fee = £30 per team
  • 5pm, 5.45pm & 6.30pm Kick off times
  • 3x fixtures, 1 at each kick off time
  • Premiership (at present)
  • 6 teams (currently)
  • Play each team once in a season (6 weeks)
  • Some teams have requests for early/late KO’s
  • 2 small sided pitches available (Only using one due to number of teams)
  • 1x Referees required each week – Jake/Matt to appoint
  • Invoiced for pitch hire (note dates event hasn’t ran/cancelled)

 

Paignton Academy (Mondays) 12 Teams

  • Coordinator – Kyle King
  • Monday nights (no breaks in the year apart from Christmas / Bank Holidays)
  • Premiership division (Currently)
  • Play each team once in a season (12 weeks)
  • 7pm, 7:45pm & 8.30pm Kick off times
  • 2x fixtures at each kick-off time
  • Some teams have requests for early/late KO’s
  • 2x Referees required each week (Kyle referees so only 1 additional ref needed) – Matt & Jake to appoint
  • 2 small sided pitches available
  • Match fee = £30 per team
  • Invoiced for pitch hire via SchoolHire (note dates event hasn’t ran/cancelled)

 

Paignton Academy (Friday Veterans 35+) 12 Teams (18 teams capacity)

  • Coordinator – Kyle King
  • Friday nights (no breaks in the year apart from Christmas / Bank Holidays)
  • Premiership & Championship divisions
  • 6 teams in each division (capacity for more teams but would change format slightly)
  • 1 teams Promoted & 1 teams Relegated from each division
  • Play each team TWICE in a season (12 weeks)
  • Introduce Cup & Plate competition every other season
  • 6pm, 7pm & 8pm Kick off times
  • 2x fixtures at each kick off time
  • Some teams have requests for early/late KO’s
  • 2x Referees required each week (Kyle referees so only 1 additional ref needed) – Matt/Jake to appoint
  • 2 small sided pitches available (3 available if needed)
  • Match fee = £35 per team
  • Invoiced for pitch hire via SchoolHire (note dates event hasn’t ran/cancelled)

Plympton Academy 3G – Thursday 10 teams (10 teams capacity) 

  • Coordinator – Iain Teasdale  
  • Thursday nights (no breaks in the year apart from Christmas / school closures)
  • Premiership & Championship at present
  • 5 teams in each division
  • Play each team twice in a season (10 weeks)
  • 2x games at 7pm, 2x games at 7.45pm Kick off times
  • 2x Referees required each week (Ian Teasdale will always referee) – Jake/Matt to appoint
  • 2 small sided pitches available
  • Match fee = £30 per team
  • Invoiced for pitch hire via SchoolHire (note dates event hasn’t ran/cancelled)

 

Plymouth (Manadon)

  • Coordinator – Argyle Community Trust
  • Sunday nights (no breaks in the year apart from Christmas / Bank Holidays)
  • Premiership divisions
  • 8 teams in each division (capacity for more teams but would change format slightly)
  • Play each team twice in a season (14 weeks)
  • 4.45pm & 5.30pm Kick off times
  • 2x fixtures at each kick off time 
  • Some teams have requests for early/late KO’s
  • Argyle Community Trust appoint their own officials

 

 

 

 Setting up a New Season for a Venue

Setting up a new season at each venue will occur quite frequently, in many cases every 7-12 weeks. When a current season finishes, it is expected for the new season to be created on Full-Time within 24hrs of it finishing (eg. Monday night league’s new season created by close of play on Tuesday). The reason for this is to give teams as much notice as possible for fixtures starting the following week.

When ending a Current Season & Creating a New Season, the first step is to note the current season’s final standings offline. This will determine teams that need to be promoted & relegated (if required) and teams withdrawing.

In Full-Time, go to Setup > Seasons & find the current season you need to edit. The current season will simply state the Town, Venue & Format (eg. Newton Abbot Devon FA Coach Rd 6’s). previous seasons that have ended, will be numbered.

To end the current season, edit this by editing the Season Name to add the next number in that venue’s sequence (eg if the last Coach Rd season to end was numbered 10, make this one 11). You also need to Hide & Lock the season you are ending.

The next step is to create the new season (Red Create New button at bottom of Seasons) using the current season format (eg. Newton Abbot Devon FA Coach Rd 6’s)

The next step is to create the Divisions – usually Premiership & Championship. Add them to this Season

Skip the next step for Clubs – not required for SSF.

The next step is to place the Teams in the League’s Divisions. In the top right of this page, ensure you are placing teams in the correct Division using the dropdown.

Existing teams will be in the “Teams not in any Divisions” section.

New teams can be added inputting Team Name, Public Display Name, Short Code & Select Venue.

Once you proceed from this step, the Basic Setup of the League is complete.

Creating Fixtures will need to be done using the wizard.

Fixtures > Scheduling/Rescheduling > Template Scheduler > Select Divisions > In the wizard create fixtures using the League’s requirements outlined in Section 1

Communicating a new season- to teams via SSF email account. Use contact list and send to primary & secondary team contacts. Copy in League Coordinator & Richard Mason for appointments.

Amend & update email template from previous season to cover new dates & details of new season.

 

 

 

  1. Recruiting & Registering a New Team

New teams that have registered can be viewed on Google Forms. This can be accessed using Devon FA login. Teams that have registered here are not completed; they are on a waiting list.

When a space becomes available in a league, we contact these teams to check-in with them, share that there is a space available & confirm if they would like to take the space available.

If they accept the place, we take a £30 fee over the phone, or using the card details provided on Google Forms/ online secure payment link. Notify JR of the new team so Nike shirts can be ordered

If a team withdraws mid-season, the new team, will inherit their league standing place & remaining fixtures.

To keep on top of new teams registering, add them to each league’s spreadsheet contact list, to the waiting list below the list of current team contacts. This organises the information better than searching for teams for a specific league through the long list on Google Forms.

Keep in regular communication with our media officers (Joe & Ryan) to promote our leagues via social media and recruit new teams.

  1. Team Withdrawals 

Teams are free to leave a league programme at the end of the season if there are no outstanding fees & have completed the Season’s fixture programme.

Teams that wish to leave mid-season are encouraged to complete a season – speak to them before accepting the withdrawal. They need to be aware of the fees they are liable for when withdrawing (refer to Team Handbook) and are expected to complete a season when they start.

If a team is on the radar for withdrawing (eg feedback from a League Coordinator in weekly summary) start contacting teams on the waiting list to check-in & make them aware of a possible space becoming available. An exit fee is usually calculated due to the number of games they are set to miss when leaving. A good gesture may apply to certain teams or a lowered fee to accommodate extenuating situations.

To ensure a league programme & fixtures are unaffected, teams can be replaced easily in Full-Time:

Setup > Replace Team

 

 

 

 

  1. Broken Fixtures

Teams are allowed 1 free cancellation per 6-month period. This is stated on the Team Handbook & reminded on the welcome email at the start of a new season

If a team cancel any other fixtures in that 6-month period, they are liable for the match fee as a fine (£30). If teams cancel but pay the fine, they retain their space in the league

If this becomes a regular occurrence (eg 3 in a row), they are contacted and most likely removed from the league.

Outstanding fees need to be communicated to JR who will manage this/ escalate it to Sport Integrity Matters.

Opposition teams affected by a team cancelling a fixture need to be communicated via text message/email asap notifying of the cancellation.

 

  1. Player Discipline

League Coordinators & referees will email in reports of any discipline issues. Teams are emailed of any League Suspension required for the offence, following the discipline tariff provided on the League Handbook. If required, the report will also be shared with Devon FA discipline department (SIM) for more serious issues.
